Certifications/Documents Required for All Staff

The OWHA has updated their Team Official Qualification Requirements, see below:

Please review to ensure that you and your staff have all required certifications. For those wanting to register for a coaching clinic, please click on the following link to access the available coaching clinics and courses. 
Please note that new this year, any staff wanting to register for a clinic or course must also create a Spordle Account; instructions to do this are also found on the link: https://www.owha.on.ca/content/coaching-clinics

Please note that the WGMHA is aware that there are very few clinics and courses available at this time (2021-2022 season). Per our most recent communication with the OWHA, head coaches that are rostered without the required coaching certification will be conditionally approved to a roster but will be required to register and complete the required certification when made available on the OWHA coaching clinics website.

Please keep checking the site in case new courses and clinics are added.

If you have any issues accessing your HCR account or registering for a Spordle Account, please email [email protected] for support (WGMHA does not have access to Spordle Accounts or staff profiles in the Hockey Canada Registry).


All staff must have the following certifications/documentation:

Valid Vulnerable Sector Screening (also known as a VSS or Police Check) - The Waterloo Girls Minor Hockey Association (WGMHA) mandates the completion of a Vulnerable Sector Screening for all coaching staff. These must be completed or in process by November 1st of the current season.

olunteers who have a valid Vulnerable Sector Screening that is less than 3 years old do not need to apply for a new one every year; they must instead submit  The Following Declaration Letter to be completed and returned by November 1st of the current season.

The VSS costs $20 and can be completed on-line via the Waterloo Region Police Services by clicking on the following link (WGMHA does not reimburse for this): https://www.wrps.on.ca/en/services-reporting/police-vulnerable-sector-check.aspx


Respect In Sport for Activity Leaders - (WGMHA will reimburse for approved staff): https://owha.respectgroupinc.com/

Planning A Safe Return To Hockey - please check for availability on the OWHA clinics site; this is a free course and can be found at: https://www.owha.on.ca/ontent/coaching-clinics (Note that there is a survey at the end of the course that must be completed for the course to be considered completed).

Gender Identity and Expression - this course is NOT required, however WGMHA strongly recommends that all new staff complete the course when made available by the OWHA. This is a free course and can be found at: https://www.owha.on.ca/content/coaching-clinics


Trainer/Assistant Trainer Certification:

All trainers and assistant trainers must be at least HTCP Level 1 certified (WGMHA will reimburse for approved staff). To register for the course or the refresher course, please click on the link: https://htohockey.ca/

Trainers and Assistant Trainers must also complete the Planning A Safe Return To Hockey course, Respect in Sport for Activity Leaders course, and also have a valid Vulnerable Sector Screening (links above).

Once any required certification/documentation is completed, please email a copy to your team manager or coach and [email protected] WGMHA keeps all staff certifications on file.


Staff Approvals:

Prior to being placed on a roster, all staff members must first be approved by the WGMHA League Management Committee (LMC) and the WGMHA Board of Directors (BOD).

For Rep staff approvals, the Head Coach of a team must forward the name and role of the prospective staff member to Lisa Haller at [email protected]

For HL staff approvals, the Head Coach of a team must forward the name and role of the prospective staff member to Ryan Terpstra at [email protected]

All staff must be registered in RAMP as a Staff member to be added to a roster.

RAMP Registration for Staff


All staff must be registered in RAMP to be placed on a roster and insured by the OWHA. To register in RAMP, click on the link: RAMP Login

Once logged in, select 'Coach/Staff Registration' and follow the prompts. Please note that the NCCP# field is now mandatory for all registrants. If you don't have one (many staff will never need one), just enter 'NR' in the field for Not Required. Staff cannot be added to a roster unless registered in RAMP. Staff only have to register once in RAMP even if they plan to be rostered on multiple teams or serve in multiple roles.
